Why Quillfern

What you get when you work
with a practice that writes things down

Most advisory work leaves organisations with impressions. Quillfern leaves them with documents — written observations, designed rituals, and monthly advisory notes they can return to.

Core Advantages

Six things that shape every engagement

Written deliverables, always

Every engagement closes with a document. Observation notes, rituals references, monthly advisory reviews — all written, formatted, and kept by the client. No verbal-only briefings.

Grounded in Malaysian context

Our practice has grown out of direct fieldwork in Malaysian workplaces — not adapted from overseas frameworks. We understand multilingual teams, local hierarchies, and how feedback moves (or does not) here.

Transparent, fixed pricing

All three engagements carry a published price in ringgit. RM 560 for the Observation Note, RM 2,300 for the Rituals Workshop, RM 4,400 per month for the Stewardship Retainer. No surprise line items.

Precise scope, honestly stated

We define what each engagement includes and, crucially, what it does not. Individual HR matters, legal disputes, and personal performance issues fall outside our remit. We say so up front.

Descriptive before prescriptive

Our observation work describes what is actually happening — not what we expect to find or what the leadership team wants to hear. The organisation decides what to do with the picture.

Paced to fit working schedules

Culture work done at a sustainable pace tends to hold. Our engagements are designed around real business rhythms — not consultant timelines that compress into a week and leave organisations to absorb it alone.

Expertise

Fieldwork experience that stays local

The Quillfern team has worked inside Malaysian organisations across manufacturing, professional services, technology, and education. That breadth means we recognise patterns quickly — the meeting culture that signals a communication gap, the ritual that has outlived its purpose, the written policy that no longer matches daily practice.

Our advisers write, facilitate, and observe as a single integrated practice. There is no handoff between the person who conducts conversations and the person who writes the report.

  • Direct fieldwork in Malaysian SMEs and mid-size firms
  • Adviser team covers observation, facilitation, and writing in-house
  • Experience across multilingual and multi-generational team structures
  • Familiar with Peninsular Malaysia business norms, not imported assumptions
  • Written ground rules agreed before any staff conversation begins
  • Six-page observation format tested across multiple organisation types
  • Rituals workshops structured around a three-week arc with clear milestones
  • Monthly retainer cadence designed to align with quarterly business planning

Process

Methods that produce usable outputs

Each engagement follows a structure we have refined through practice. The Observation Note process, for example, follows a specific sequence — briefing, written ground rules, five scoped conversations, thematic analysis, written draft, review pass, final delivery. Nothing is improvised.

That structure is what allows us to keep prices fixed and timelines predictable. The client knows what they are getting and when.

Service Quality

One point of contact, start to finish

We are a small advisory practice. That means the lead adviser you speak with at the start of an engagement is the person running it through to completion. Work is not delegated to junior staff after the pitch.

For the Stewardship Retainer, the fortnightly call cadence means you are in regular contact with a named adviser who has continuity of context — not a fresh face each month.

  • Named adviser on every engagement from briefing to delivery
  • Fortnightly advisory calls in the Stewardship Retainer for continuity
  • Written communication log maintained across all retainer months
  • Response to queries within two business days

What Sets Us Apart

Distinctive features of the Quillfern practice

The observation note format

A six-page written document — not a slide deck, not a verbal debrief — that organisations can read carefully, share with stakeholders, and return to as a baseline. This format does not exist in most advisory offerings.

Written rituals reference

The Team Rituals Workshop produces a living document — a rituals reference the team can update as their working patterns change. It is designed to outlast the engagement itself.

Nine-month retainer arc

Nine months is long enough to observe culture across seasons — a financial year-end, a leadership change, a period of growth. Short retainers tend to miss the patterns that only become visible over time.

Language flexibility

We can work in English, Bahasa Malaysia, or a mixed approach — agreed at the briefing stage. The observation note and all written deliverables are produced in the language that works for your leadership team.
